RWRA POPIA & Data Protection Policy

Rivonia Wide Residents Association NPC (“RWRA”)

1. Purpose

RWRA is committed to protecting the personal information of its members, volunteers, and stakeholders in accordance with the Protection of Personal Information Act, 2013 (“POPIA”).

This policy explains how personal information is collected, used, stored, and protected.

2. Scope

This policy applies to all personal information processed by RWRA, including but not limited to:

Names and surnames
Contact details (email, phone number, address)
Membership records
Payment and contribution records
Communication records

3. Lawful Collection & Use

RWRA collects personal information only:

For legitimate organisational purposes
To administer membership and communication
To support community safety, governance, and operations
Information is collected directly from members or with their consent and is not used for any unrelated purpose.

4. Data Protection & Security

RWRA takes reasonable and appropriate measures to protect personal information, including:
Limiting access to authorised persons only
Using password-protected devices and systems
Avoiding unnecessary duplication or sharing of data
Using reputable digital platforms for storage and communication

5. Data Sharing

RWRA does not sell, rent, or trade personal information.
Personal information is only shared:
Internally where necessary for RWRA operations
With service providers where required (e.g. communications platforms), under confidentiality
Where required by law

6. Member Rights

Members have the right to:
Request access to their personal information
Request correction of inaccurate information
Request deletion of information where legally permissible
Requests can be submitted in writing to the Information Officer.

7. Information Officer

RWRA has appointed an Information Officer responsible for POPIA compliance, oversight, and data protection governance.

This policy is reviewed periodically and updated as required to ensure ongoing compliance with POPIA.
